Terms and conditions

Welcome to our travel agency! We’re committed to providing you with exceptional service and memorable experiences. Before you embark on your journey, we kindly ask you to read, understand, and agree to the following terms and conditions which govern our mutual obligations and responsibilities.

General Information:
  • The itinerary is subject to modification based on weather conditions and the preferences of the group.
  • Vicuña Expeditions Peru shall not be held liable for any loss or damage to the client’s personal belongings, nor for any resulting consequences.
  • We assume no responsibility for any illnesses or accidents that may arise. In the event of illness or an accident, the client bears the responsibility and associated costs.
  • The client holds full responsibility for the borrowed equipment, and any incurred damage or loss must be compensated upon returning to Cusco.
  • The client affirms their physical and mental fitness. Vicuña Expeditions Peru cannot be held accountable for any consequences if this is not the case.
Booking Procedures

Prior to making any payment, please get in touch with us. To secure your chosen program, we kindly request a 50% deposit per person at the time of booking. It is important to note that this deposit is non-refundable in the event of cancellation by the client. By proceeding with this transaction, you enter into a contractual agreement with Vicuña Expeditions Peru. Once we receive and acknowledge the booking, we will provide confirmation in writing. Please be aware that travel arrangements are only confirmed upon receipt of written confirmation from Vicuña.

This advance payment of 50% can be completed using alternative methods such as WESTERN UNION, PAYPAL, or online payment services. The transfer should be made in the name of a member of the Vicuña Expeditions Peru staff.

Vicuña Expeditions Peru will not cover any bank taxes or transfer fees. All transfer costs must be borne by the client.

Final Payment

The program price is denominated in U.S. dollars. We kindly request that you settle your remaining balance at our office no later than 24 hours before your scheduled tour. Currently, we accept payment in cash (either Peruvian soles or American dollars) as well as Visa (subject to an 8% commission charge).

The agreed-upon program price per person, as confirmed during the booking process, will remain fixed and will not undergo any changes.

Cancellation by the client

In the event of cancellation by the client, written notice must be provided Vicuña Expeditions Peru. Please note that the initial deposit is non-refundable. It is advisable to specify the reason for cancellation, as you may be eligible for coverage under your insurance policy.

If notice of cancellation is received more than 15 days prior to the departure date, the client will forfeit the 50% deposit. For cancellations made between 15 and 7 days prior to departure, a refund of 50% of the tour price will only be issued if the full payment has been made in advance. Cancellations made less than 48 hours before departure, including the cancellation of specific portions of the tour, will not be eligible for any refund.

Cancellations by the travel agency

Unforeseeable Circumstances: technical issues, meteorological conditions, labor strikes, civil unrest, and governmental decisions.

In such instances, Vicuña Expeditions Peru will present alternative solutions to ensure the execution of the program or offer comparable travel arrangements, but refunds will not be provided. We retain the right to modify the planned itinerary accordingly. We will make every reasonable effort to deliver the booked program as planned, but changes may occur.

If significant alterations are necessary, we will endeavor to inform you before the departure date, if feasible, and present suitable alternative arrangements. Any resulting additional expenses will be the responsibility of the client.

Please be advised Vicuña Expeditions Peru will not assume liability for reimbursing any extra costs incurred by the client in preparing for the tour. This includes international tickets and fees, visa expenses, vaccination costs, and others.

Cancellations by Vicuña Expeditions Peru: in such cases, we will reimburse 100% of your payment.

Assumption of Risk

Some of Vicuña Expeditions Peru’s itineraries are designed to provide participants with an authentic encounter with the visited environment. Consequently, they involve inherent personal risks that may result in physical or emotional injury, paralysis, death, or damage to the client, their belongings, or third parties. The client acknowledges that such risks cannot be completely eliminated without compromising the essential aspects of the activity, and therefore, assumes them as an integral part of the tour.

Our client affirms being aware of their physical and health condition and knowingly chooses to accept the aforementioned risks.

The client releases Vicuña Expeditions Peru from any responsibility related to accidents or injuries that may occur.

Authority on Tour

Throughout the tour, the decisions made by the guide or representative of the company will hold ultimate authority in all matters that could potentially jeopardize the safety and well-being of the tour group. It is imperative for participants to adhere to the guide’s instructions at all times.

The client must strictly adhere to Peru’s laws and regulations concerning drugs, ensuring full compliance. Failure to comply with the aforementioned or engaging in conduct that jeopardizes the group’s well-being may result in the guide or company representative instructing the client to leave the tour without any refund.

Travel Documents

The client must possess a valid passport and carry the original document or, at the very least, a copy throughout the duration of the tour.

Travel Insurance

We strongly recommend obtaining comprehensive travel insurance that covers accidents, medical expenses, emergency repatriation, including rescue and air ambulance services. It is also advisable to select a policy that offers coverage for trip cancellations and loss of luggage.

Third Party Services

Vicuña Expeditions Peru operates a portion of the services included in the program directly, while also collaborating with airlines, hotels, and other independent entities to provide the travel services you have purchased. We take reasonable measures to ensure that these service providers maintain our quality standards. However, please note that these parties are independent suppliers and we do not exercise direct and complete control over them.

Consequently, Vicuña Expeditions Peru cannot assume any liability for losses, damages, inconveniences, delays, and similar issues that may arise.

Claims and Complaints

Should a client have a complaint, they should initially inform the guide to allow for an attempt to rectify the matter. If further action is necessary, any additional complaint must be submitted in writing to the company within 7 days following the conclusion of the tour.

Exclusive jurisdiction for claims or disputes lies solely with the courts in Cusco, Peru. These courts will apply Peruvian Law to any disputes brought before them.

Claims for damages against Vicuña Expeditions Peru will be limited to the value of the specific item in question. Any liability is restricted to the total amount paid for the tour. In all cases, the company explicitly disclaims liability for indirect, incidental, or consequential loss or expenses, including loss of profits.
